Privacy policy
Last updated:
This policy explains what personal information Avictus Inc. (“Avictus” or “we”) collects when you visit avictus.net or write to us, why we collect it, and how you can exercise your rights. It also sets out our governance policies and practices for the protection of personal information, as required by Quebec’s Act respecting the protection of personal information in the private sector.
Idea submissions are not open yet, and we do not collect ideas for a feasibility check. The passages on ideas below describe how we will handle them once submissions open.
In short
- This site uses no cookies, no analytics, no trackers and no forms.
- It loads nothing from outside: fonts, images and styles all come from our own site.
- Our hosting provider automatically keeps technical logs, which include your IP address.
- If you write to us, we use your message to reply to you.
- When idea submissions open, our automated agents will research submitted ideas with AI models from Anthropic and with web searches. Words from an idea will leave us in search queries. The details are below.
- We do not sell, rent or trade any personal information.
Person in charge of the protection of personal information
The President of Avictus Inc. is the person in charge of the protection of personal information. Send any question, request or complaint by email to contact@avictus.net, with the subject “Privacy”.
The information we collect
When you visit the site
Like any web server, our host’s server records each request in a log: your IP address, the date and time, the page requested, the page you came from, your browser and device type, and the server’s response code.
These logs are used only to serve the site, to keep it secure (for example, to detect abuse or attacks) and to diagnose technical problems. We do not use them to identify you, to build a profile of you or to measure traffic, and we do not combine them with any other information.
When you write to us
If you write to contact@avictus.net, we receive your email address, your name if it appears, the content of your message, any attachments, and the technical data that comes with every email.
We use this information to reply to you, to assess and follow up on your request (for example, to prepare a proposal) and, if a business relationship results, to keep our records. By writing to us, you consent to this use. We do not add you to any mailing list, and we will not send you promotional messages without your express consent.
When idea submissions open
If you email us an idea to check after submissions open, we will receive the same information as for any other email, plus the description of your idea and anything you attach to it.
We will use this information to research your idea, to write your report and send it to you, to answer your questions about it, and to keep a record of what we received and when.
Here is how the research will work:
- Our automated agents will run on our own servers in Quebec. To analyse your idea and write the report, they will send its text, and what they find about it, to AI models provided by Anthropic, in the United States.
- To find existing companies, products and published patents, the agents will search the web. The search queries will contain words taken from your idea. They will leave through our own search gateway and go to public web search engines and to two paid search services, Brave and Exa, in the United States. The queries will reach these services from our server, without your IP address.
- Because the queries will contain words from your idea, any personal information in your description, such as a person’s name, could end up in a query. Describe your idea without naming people and without personal details that the research will not need.
If you send an idea after submissions open, you will consent to this use, including the communication outside Quebec described below. You will be able to withdraw your consent at any time by writing to us: we will stop the research if it is still running, and we will delete your submission unless the law requires or permits us to keep it. Our idea submission policy sets out the other terms that will apply to ideas you send us.
Sensitive information
Please do not send us sensitive information by email, such as health or financial information, or personal information about other people, such as your customers or employees. If your request involves that kind of data, we will agree with you on a secure way to share it.
What we do not do
- We use no technology that can identify you, locate you or build a profile of you.
- We make no decision based exclusively on automated processing of your information.
- We do not share your information with anyone, except the providers and search services described below, or where the law permits or requires it, for example in response to a court order.
Providers and transfers outside Quebec
We use these providers, which process personal information on our behalf:
- Hostinger (HOSTINGER, UAB, based in Lithuania) hosts the site and keeps the server logs. Its servers are located outside Canada, and its content delivery network may serve the site from several countries.
- Proton AG (based in Switzerland) provides the email service for contact@avictus.net.
- Anthropic, PBC (based in the United States) provides AI models. When idea submissions open, it will receive the text of ideas sent for a feasibility check and the research material about them.
- Brave Software, Inc. and Exa (both based in the United States) provide paid web search services. When idea submissions open, they will receive search queries built from ideas sent for a feasibility check.
Public web search engines will also receive those search queries, under their own terms. Because no agreement with us governs how they will handle the queries, we ask you to keep personal information out of any idea you send after submissions open.
Your information may therefore be stored and processed outside Quebec and outside Canada. There it is subject to local law and may be accessible to the courts, law enforcement and national security authorities of those countries. Before we communicate personal information outside Quebec, we assess whether it will be adequately protected there, and we govern the communication by a written agreement with the provider.
How long we keep information
- Emails: we keep them while we handle your request, then for no more than two years after our last exchange. A message related to a contract or a transaction is kept with our business records for as long as tax law requires, generally six years.
- Ideas sent for a feasibility check after submissions open: we will keep your submission, your report and our exchanges about them for three years after our last exchange, so that we can answer any later question about what we received and when. The agents’ working files (search queries, search results and drafts) will be deleted within 90 days after your report is sent.
- Server logs: they are kept by our hosting provider for a limited period that it sets. We do not copy them anywhere else.
- Our providers: When idea submissions open, Anthropic, Brave and Exa will keep what they receive for the periods set in their own terms.
When the retention period ends, we securely destroy the information.
Security
The site is available only over an encrypted connection (HTTPS). Access to personal information is limited to people who need it for their duties, and our accounts are protected by strong authentication. We choose our providers in part for their security practices.
Your rights
You can:
- find out whether we hold personal information about you, and access it;
- obtain a copy, including in a structured, commonly used technological format;
- have inaccurate, incomplete or equivocal information corrected;
- withdraw your consent;
- ask us to stop disseminating information or to de-index a hyperlink that gives access to it, in the cases provided for by law;
- complain about our practices.
To exercise these rights, write to the person in charge of the protection of personal information. We may ask you to confirm your identity. We reply in writing within 30 days of receiving your request. Access to your information is free; reasonable fees may be charged for transcription, reproduction or transmission, and we would tell you in advance.
If you are not satisfied with our answer, you may contact the Commission d’accès à l’information du Québec. If you live outside Quebec, you may also contact the Office of the Privacy Commissioner of Canada.
Confidentiality incidents
We keep a register of all confidentiality incidents. If an incident presents a risk of serious injury, we promptly notify the Commission d’accès à l’information and the people concerned, and we take the necessary steps to reduce the risk.
Our governance policies and practices
Here, in plain terms, is how we manage personal information from collection to destruction.
- Roles and responsibilities. The President is the person in charge of the protection of personal information. The President approves our policies, handles access and correction requests and complaints, and keeps the incident register. Anyone we give access to personal information, whether an employee or a contractor, agrees in writing to keep it confidential and accesses only what they need.
- Collection and use. We collect only the information needed for the purposes set out in this policy, and we do not use it for other purposes without your consent unless the law permits it.
- Retention and destruction. We apply the retention periods described above, then securely destroy the information.
- Privacy impact assessments. We carry one out before any project to acquire, develop or overhaul an information system or electronic service delivery that involves personal information, and before any communication of personal information outside Quebec.
- Complaints. Complaints are sent in writing to the person in charge of the protection of personal information. We acknowledge them, look into them and reply in writing within 30 days. If you remain dissatisfied, you may contact the Commission d’accès à l’information.
- Incidents. We record every incident in our register and notify the Commission and the people concerned when the law requires it.
- Review. We review these policies at least once a year and whenever our practices change.
Children
This site is not directed at children. When idea submissions open, you will need to be 18 or older to send an idea for a feasibility check; if you are younger, a parent or guardian may send it for you. If you are under 14, please ask your parent or guardian to write to us for you.
Changes
If we change this policy, we will publish the new version on this page with its update date.
